Step-by-Step Payroll Calculation

Step 1: Calculate Basic Salary and Allowances

Start with each employee's contracted salary package and break it into components.

Example Employee — Marketing Manager:

  • Total package: AED 18,000/month
  • Basic salary (55%): AED 9,900
  • Housing allowance (30%): AED 5,400
  • Transport allowance (10%): AED 1,800
  • Phone allowance (5%): AED 900

Step 2: Calculate Overtime (If Applicable)

Under Federal Decree-Law No. 33 of 2021:

  • Standard working hours: 8 hours/day, 48 hours/week
  • Regular overtime: 125% of hourly rate
  • Night overtime (10 PM - 4 AM): 150% of hourly rate
  • Friday/Public holiday: 150% of hourly rate or day off in lieu

Hourly Rate Calculation: Hourly rate = Basic salary ÷ 30 ÷ 8

Step 3: Apply Deductions

Calculate all applicable deductions:

For UAE Nationals:

  • GPSSA pension: 5% of salary
  • Example: AED 18,000 × 5% = AED 900

For All Employees (if applicable):

  • Salary advance repayment (max 10% of salary per month)
  • Enhanced insurance premiums
  • Court-ordered deductions
  • Total deductions cannot exceed 50% of salary

Step 4: Calculate Gratuity Accrual

While gratuity is paid at the end of employment, smart businesses accrue it monthly:

  • First 5 years: 21 days basic salary per year ÷ 12 months
  • Beyond 5 years: 30 days basic salary per year ÷ 12 months

Example (employee in year 3):

  • Basic salary: AED 9,900
  • Daily wage: AED 330
  • Annual accrual: AED 330 × 21 = AED 6,930
  • Monthly accrual: AED 6,930 ÷ 12 = AED 577.50

Step 5: Generate WPS File

The final step is generating a WPS-compliant file for bank submission. This file must include:

  • Employee name and bank details
  • Total salary amount
  • Payment date
  • Company labour card number
